How offers work in REHL

REHL Offers keeps every offer in one record, from the moment it reaches you to the transaction. Every step you take is time-stamped on that record. Nothing in it accepts an offer for anyone: a deal exists only when both sides sign a purchase contract.

How offers get into REHL

Offers from buyers on your branded site are not switched on yet. They wait on REHL's final sign-off of the certification agreement every buyer signs, and until then Make an offer does not appear on any site. Today an offer reaches your Offers queue in one of the two ways below.

  • Import an offer. For an offer that reached you as a PDF or an email, including one sent through SkySlope Offers or MLS Offers. Upload the PDF (up to 4 MB) or paste the email, and REHL AI drafts the terms, which uses REHL AI credits. No offer is created until you check every field, pick the listing (and a buyer contact, if you want one linked), and create the offer. An uploaded PDF is stored in your brokerage's private document store as soon as REHL AI reads it, so a review you abandon leaves that file behind with no offer attached. A term the document did not state starts empty, so you enter the price and financing yourself when it left them out. Importing the same document into the same listing again opens the offer you already created, and an uploaded PDF is filed in the offer's Attachments as the Original offer.
  • Log a Made offer activity on a contact. Choosing the Made offer outcome asks which home the offer was on and, if you like, the price (otherwise the list price is used, so a listing with no list price needs the price entered here). When that home is listed for sale and is active or pending, REHL adds it to Offers as a made offer. Without a listing, without a price, or when your plan or role does not include Offers, the activity is still logged and the lead still moves to the Offer stage (unless it is closed or in Nurture), but no offer is created.

Received and made

  • Received: an offer on one of your brokerage's own listings. You are the listing side.
  • Made: an offer on a home from your MLS feed that another brokerage has listed. Your brokerage is on the buyer's side, and the offer is yours to carry to the listing agent.

An imported offer is received or made according to the listing you pick. An offer logged from a Made offer activity is always a made offer. Each offer belongs to one agent: on a received offer, the listing's assigned agent, otherwise the buyer's lead owner, otherwise the brokerage owner. On a made offer, the buyer's lead owner, otherwise the brokerage owner. That agent's bell rings when the offer expires or closes because its listing left the market.

The queue and the stages

Offers sits under Deals in the sidebar, and the search bar finds an offer by its address, city, ZIP or the buyer's name (type "offer" to see only offers). You can filter the queue by Received or Made, and view it as a list or as a pipeline with five columns:

  • Received: new, or acknowledged by you.
  • Presented: you have recorded that it reached the seller.
  • Negotiating: at least one counter is on the record.
  • Out for signature: the contract (the offer packet) has gone out through REHL Sign.
  • Done: a signed contract was recorded, or the offer was declined, withdrawn or expired.

Waiting on you

Every open offer says whose move it is: you, the buyer, or the seller. REHL sets this from what happened, never by hand. A received offer you import waits on you, and so does one you have acknowledged. A made offer you import or log starts out waiting on the seller. Recording a presentation moves it to the seller. A counter moves it to the other side. Sending the contract or a counter for signature moves it to the side of the first person who has to sign. The Waiting on you filter shows only the offers where the next step is yours.

Today lists up to ten of the offers waiting on you, soonest deadline first, and an offer whose deadline is less than 24 hours away becomes the top next action. Today reads the 500 soonest-deadline open offers waiting on agents across the brokerage before it sorts them out by agent, so in a brokerage with more open offers than that, a later-deadline offer of yours can be left off Today.

Working an offer

  1. Acknowledge. Records, with a time stamp, that you have reviewed it. You can add a note for the record.
  2. Record presentation (Record presentation to seller on a received offer). Records that the offer reached the seller, and how and when if you add a note. On a made offer, use it when the listing side tells you they have presented it.
  3. Record a counter. Change at least one term and REHL writes the next round. Every round is kept, and the offer page shows what changed between a round and the one before it, or between a round and the original offer. A round's deadline has to be in the future, so if the offer's deadline has passed, set a new one in the same counter. A counter can change the price, the financing and the other terms. It cannot change a buyer's certified funds statement (cash, pre-approved, or pre-approval in progress, with any lender details) or what they chose to share about a pre-approval, and on an offer a buyer certified it cannot change their name or their response window either. Once both sides have signed a contract on the offer, no more counters can be recorded: record the signed contract instead.
  4. Send documents for signature. Choose the contract (the offer packet), a counter instrument for the current round, an addendum, or a broker compensation agreement, then pick the form from your Templates. It is filled from the offer's current terms on your own form and goes out through REHL Sign, with signers invited in the order your form sets.
  5. Record accepted contract. Only once both sides have signed a purchase contract. Either pick the fully signed contract or counter from REHL Sign that is linked to this offer, or state that it was signed outside REHL. Either way, enter the effective date written on the contract.
  6. Create transaction. Opens the deal under contract from the round that was signed.

The contract and counter choices need a purchase contract form, and the send dialog checks it before you send. It lists everything missing at once, each with a link to the page that fixes it: no published purchase contract template yet, or a template without both a Buyer and a Seller signer role, without always-visible text fields auto-filled from the offer price and the offer financing, or with the listing price where the offer price belongs. Send stays off until the template is ready. Each round can carry one contract instrument, so to send a new one, record a counter first. Documents cannot be sent once the offer's own deadline has passed, unless a signed contract has already been recorded.

Decline offer (Record seller's decline on a made offer) and Record buyer's withdrawal (Withdraw offer on a made offer) end the negotiation and void any documents still out for signature. Neither is allowed once both sides have signed a contract on the offer: record that contract instead.

Certified and uncertified offers

Imported offers and offers logged from an activity carry no buyer certification, and the offer page says so (for example, "Imported from a document. No buyer certification."). The Buyer-certified badge appears only on an offer a buyer certified on your site, which is not switched on yet.

Attachments

The offer page has an Attachments section for PDFs that belong with the offer but are not signed through REHL Sign: the original offer, proof of funds, a pre-approval letter, an inspection report, a disclosure, or another document. Choose what it is and attach a PDF of up to 4 MB. Attaching needs edit access to Offers on a plan that includes it, and anyone who can see the offer can open the list and download a file. The same PDF attached to the same offer twice is kept once. An attachment is never a signing record, so it cannot be used to record a signed contract.

Bringing in the other agent

Once an offer has a document signed through REHL Sign, you can invite the agent on the other side to see it and negotiate their side in REHL, after the two of you verify each other's license. See "Share an offer with the other agent".

Creating the transaction

Create transaction opens one deal per offer, and pressing it again opens the same deal. It starts Under contract, with the contract price, deposit and target closing date from the signed round, and the effective date you entered. REHL adds the contingencies from the signed terms: inspection when the terms give a period, loan approval and appraisal on a financed offer (your brokerage's default period applies when the terms do not state one), condo or HOA review, title review, insurance and sale of another home when the terms include them, and the escrow deposit due dates. A contingency the terms name without a number of days is added with no deadline, for you to fill in. A contract signed through REHL Sign is filed under the new deal.

On a received offer the deal is seller side, unless you tick that your brokerage also represents the buyer. A buyer being one of your contacts is not, by itself, representation. On a made offer the deal is buyer side. Creating a transaction also needs edit access to Transactions.

When the listing sells or leaves the market

  • Mark your listing Sold and every open offer on it is declined, and the agent each offer belongs to gets a bell.
  • Mark it Withdrawn or Expired and every open offer on it expires.
  • An offer where both sides have already signed a contract is left open, so you can record it.
  • Putting the listing back on the market opens it to new offers. Offers that already ended stay ended.
  • For homes from the MLS feed, REHL closes open offers when a sold, withdrawn or expired status reaches it, on the same scheduled check that handles deadlines. If the feed simply stops carrying a listing, an offer with a deadline ends at that deadline, and one without a deadline stays open until you end it.

Deadlines

An offer can carry a deadline (the Offer deadline term). Deadlines show in your local time with the zone named. REHL checks open offers about every 15 minutes, moves those past their deadline to Expired, and rings the bell of the agent each one belongs to. The check is not instant, so an offer can still read as open for a while after its deadline has passed. An offer where both sides already signed a contract is never expired this way.

Does an offer pause my automated outreach to that buyer?

On a received offer with a buyer contact linked, yes. While it is open, Cultivate touches, Sphere sends, new-listing alerts and saved-search emails to that buyer are held. They pick up on their own once the offer ends. A made offer does not pause anything, because there you are working for that buyer.

What happens to the buyer's lead?

When an offer is created with a buyer contact linked, the lead moves to the Offer stage (for an offer logged from an activity, unless the lead is closed or in Nurture) and its score goes up by the same amount whichever way the offer arrived. If the offer is then declined, withdrawn or expires, most of that increase is taken back, and a lead still at Offer with no other live offer moves to Closed (lost). Creating the transaction leaves the stage where it is.

Where do I show a seller all the offers?

Open the listing and use its Offers tab. It lays the offers side by side with buyers shown as Buyer A, Buyer B and so on, and shows when each one was presented. Nothing is worked there: clicking an offer opens its page in Offers.

Who on my team can see and work offers?

Offers is a row in the permission matrix, and an agent seat starts on Edit. Offers also follow your brokerage's lead visibility setting: an agent who cannot see a buyer's lead does not see that buyer's offers, unless the offer is on a listing assigned to them. In that case they can work the offer but cannot send its documents: the lead's owner or an admin has to.
